Asking supporters to keep in touch

Ask your supporters if they'd like to hear more from your charity through our GDPR compliant marketing opt-ins

Optimum and Advantage Partners can use a bespoke marketing ask to gain permission for further contact from donors, tribute guardians and eventers.

Simply provide us with:
- Your chosen wording
- The channels you would like to offer
- The URL of your Privacy Policy

Your supporters will then be able to opt-in to their preferred channels for future communications, and you can view their responses via your Partner Area reporting.

Who gets asked, and when?

Once your question has been uploaded, supporters who visit the service to create a tribute, make a donation or add an event will be asked your marketing consent question. 

This will include both new supporters visiting for the first time, and existing supporters who have not previously answered your bespoke question. Once a supporter has answered the consent question, they will not be presented with the ask again on future visits.

Updating consent

We will direct all supporters who wish to update their consents to get in touch with you directly.  In this way, the information you hold centrally about a supporter's preferences remains the most current for you to work with.

If you need to change the wording of your ask, please send an email with the updated wording to your account manager. Please note that it is your responsibility to keep a record of the wording in use at any given point in time, we don't keep a record of the wording history.

Viewing your consent information

The consent information collected can be viewed either as part of your report downloads, or under the 'User' tab of your Partner Area.

To view the consent via your report downloads, select either the Donation Detail report, Tribute report or Event report. These provide the consent information for donors, tribute guardians and eventers respectively. Don't forget to tick to select the relevant columns before you download the report.

In the 'User' tab of your Partner Area you'll see two reports, 'User GDPR Responses' and 'Your Users'. The 'User GDPR' tab is a list of all your supporters (supporter name and email address) and their responses to your marketing question, along with the timestamp for when each response was captured.  You can also download this information into a CSV file. 

Clicking on the email address will take you to the information about that user in the 'Your Users' report, where you can view the roles the supporter has taken on the platform (Tribute Creator, Event Creator and Donor).

Our marketing ask gives supporters the opportunity to opt-in to any of the four channels - Post, Email, Phone and Text. You can choose which channels to offer - so for example you can choose not to ask supporters to opt-in to Post as a channel. If a supporter chooses not to select a channel you will see this on your reporting as 'No'.

If a supporter ticks to remain anonymous to the charity whilst making the donation process, they won't be presented with the marketing ask. If that happens, the column 'GDPR Asked' in your reporting will contain the value 'No'.

It is possible to set up more than one marketing ask to present to your supporters when they interact with your tribute service. However these results can only be viewed using the reporting under your 'Users' tab. If more than one ask is in use, we cannot include reporting within the Tribute, Event and Donation Detail reports.
