All the donations and Gift Aid claims that make up the monthly payment we pay over to your charity are listed in the Payment Report that you can download from our Partner Area.
The Payment Report is a static report. The total in the Payment Report will always match the amount paid into your bank account, and the values in this report never change after its publication to you.
The Donor Detail Report is a 'living’ report. If a donor makes a donation and then changes some aspect of it, the Donor Detail Report is updated to reflect this change. This means if a donor calls with a change, you can see the 'live' status of their donation.
If a change is made AFTER the month-end, this will mean the Donor Detail Report and the Payment Report will show different totals received for that month. This is because the Payment Report is generated at midnight on the last day of the month, and will not be updated with any changes.
Because of this we advise Partners to use the Payment Report to validate the donations they have received. Figures in the Donor Detail Report are continually being updated as the status of donations changes.
The two main reasons a donation may change is the addition or removal of Gift Aid, or the refunding of a donation.
Let us explain:
On 28th May Andy makes a donation to your charity of £10.
On the 2nd June, he realises he has forgotten about GiftAid and calls MuchLoved to add the Gift Aid to his donation.
The Payment Report will show two transactions, across both months.
In May - a donation of £10
In June - a Gift Aid amount of £2.50.
The Donor Detail Report, on the other hand, will update, and change to reflect Andy's changed donation.
If you view the report before 2nd June it will show a donation of £10.
If you view the report after 2nd June, once Andy has changed his donation, it will show a donation of £10, with £2.50 Gift Aid added.
So, if you added up all donations and Gift Aid for May after 2nd June on the Donor Detail Report, it will show £2.50 more than the Payment Report for May, as it has updated with the changes.
